CRM Your Sales Team Will Actually Use

We build CRMs sales reps log into voluntarily — because the pipeline reflects how they actually sell, the data entry takes seconds, and the dashboard tells the founder something useful before the Monday meeting. Custom where Salesforce is overkill, integrated with the tools your team already lives in, and owned by you.

Per-Seat License Lock-in

You don't need a fancier CRM.
You need one your reps log into.

Most CRM projects don't fail because the software is bad. They fail because nobody asked the reps how they actually sell, the data entry burns 40 minutes a day, and the dashboard is full of fields management cares about and reps don\'t. Six months later half the deals are still in WhatsApp and Excel. We design the CRM around the rep\'s day, then layer the management view on top.

😤

₹15 lakh in licenses, deals still in WhatsApp

You bought Salesforce or HubSpot Enterprise. The reps still close deals over WhatsApp and email, then forget to update the CRM, and the Monday forecast is fiction.

📋

30 mandatory fields per stage

Every stage move requires 30 fields, half of them irrelevant to this deal type. Reps either skip the CRM or fake the data to clear the validation, and the pipeline numbers lie.

🌫️

A pipeline number nobody trusts

Sales says ₹4 crore, finance says ₹1.2 crore, the founder is making payroll decisions on a guess. The CRM is technically the source of truth and nobody believes it.

What You Actually Get

No vague deliverables. Here's exactly what lands in your hands.

🧭

A pipeline that mirrors how you actually sell

Stages, exit criteria and required fields designed with your real reps in week one — not lifted from a template. Different pipelines for different deal types if that's how you sell.

Data entry that takes seconds, not minutes

Inbound email parsing, calendar sync, WhatsApp logging, one-click stage moves, mobile-first capture. The rep adds value to the CRM in 10 seconds, not 10 minutes.

📈

A forecast the founder can actually use

Weighted pipeline, win-rate by source/rep/stage, leak analysis, cycle-time tracking. Numbers that match what finance sees, not vibes on a dashboard.

🔐

Source code and full data ownership

Your repo, your database, your customer data. Export to CSV or SQL on demand. No per-seat lock-in, no "our enterprise tier supports that" upsells.

A Real CRM Delivery Team

A CRM that actually gets used takes more than a developer with a tutorial. Six roles you get on every Pillai Infotech CRM build.

🧠

Sales-Ops Lead

Has run a sales team. Knows the difference between a pipeline that helps reps and one that punishes them. Designs stages, qualification frameworks (BANT, MEDDIC, whatever fits), and the fields that actually predict close.

⚙️

Senior CRM Engineer

Builds on Twenty, EspoCRM, SuiteCRM, or custom Laravel/Node when off-the-shelf doesn't fit. Writes upgrade-safe modules, not forks. Keeps the schema clean enough that reports don't lie.

🔗

Integration Engineer

Email, calendar, telephony, WhatsApp Business API, marketing automation, ERP, billing. Builds proper webhooks, retries and audit logs. The reason your CRM and your inbox actually agree.

📊

Analytics & Forecasting Lead

Designs the dashboards leadership actually opens. Win-rate by cohort, leak analysis, rep coaching reports, forecast accuracy tracking. Numbers that drive next week's decisions.

📱

Mobile UX Engineer

Reps live on phones. Builds the mobile flows — voice notes to deal log, one-tap call logging, location-stamped check-ins, offline editing. The reason field reps update the CRM on the way back to the car.

🚀

Adoption & Enablement Lead

CRM is 30% software, 70% behaviour. Runs the kickoff, the role-based training, the cheat sheets, the incentive design. The reason adoption stays above 80% three months in.

Zero-Blindspot Delivery

You See Everything. In Real Time.

Every Pillai Infotech project comes with a dedicated client dashboard. Kanban boards, live logs, test results, meeting notes — it's all visible the moment it happens. No status-report theatre, no "we'll get back to you", no surprises at the demo. You work with us like you work with your own team.

📋

Kanban Board, Live

Every epic, every story, every task — visible on your dashboard. Drag, comment, reprioritize. It's the same board our team works from.

📝

Documented Everything

Every decision, spec, API contract, and architecture diagram lives in the dashboard. Searchable, versioned, linked to the tasks they shaped.

📜

Live Logs & Test Results

Build logs, deployment logs, test suite results — streamed to your dashboard the moment they run. You never have to ask "did the build pass?"

🎯

Meetings → Tasks, Automatically

Every meeting is recorded, transcribed, and every action point is auto-converted into a tracked task assigned to the right person. Nothing gets lost between calls.

📈

Sprint Burndown & Velocity

See exactly how much work is done, how much remains, and our velocity over time. If a sprint is slipping, you see it the same moment we do.

💬

Comment, Approve, Decide — In-Place

Comment on any task, approve designs, sign off on specs, and raise blockers directly in the dashboard. Everything tied to the work, not buried in email threads.

CRM Systems We Know How to Ship

We pick the platform to match how you sell, not the other way round.

🎓 Education & Admissions CRM

🏥 Healthcare & Patient CRM

Patient acquisition, appointment booking, follow-up campaigns, insurance pre-auth, post-visit feedback. PHI-aware, audit-friendly, integrates with the HIS.

A Six-Stage CRM Delivery Process

Built around the reality that adoption, not features, decides whether the project worked.

01

Ride-Along & Discovery

A senior sits with your reps for two days. Watches calls, demos, follow-ups, quoting. Maps the real sales motion — not the one in the deck. Catches the workflow nobody documented.

02

Pipeline & Schema Design

Stages, exit criteria, required fields, deal types. Designed with one senior rep and one manager in the room. Signed off on paper before any build.

03

Build in Vertical Slices

One end-to-end flow at a time — lead capture to qualified, qualified to won, won to handoff. Each slice in a UAT environment within two weeks, tested by real reps.

04

Integration & Data Migration

Email, calendar, WhatsApp, telephony, existing CRM data. Cleaned, deduped, validated before import. The first day in the new CRM doesn't feel like starting over.

05

Pilot, Train, Roll Out

One team pilots for two weeks. Friction logged daily. Fixes shipped same week. Then the wider rollout, with role-based training, cheat sheets and a war room for the first ten days.

06

Adoption Tracking & Tuning

We watch login rates, field-completion rates and stage hygiene for the first 60 days. Anything below 80% adoption gets investigated and fixed — usually a friction issue, not a training one.

Three Ways to Engage

CRM projects don't fit one shape. Pick the one that matches your stage.

Honest Answers to CRM Reality Questions

The questions every smart buyer asks before signing. Here's what we tell them.

Why not just use Salesforce or HubSpot?

Sometimes that's the right call — and we'll tell you when it is. But for most Indian SMBs and mid-market, the per-seat costs scale faster than the value, and 60% of the features are dead weight. A well-built open-source or custom CRM costs less in year three, fits your sales motion better, and you own the data. We'll benchmark honestly before recommending.

How do you actually get reps to use it?

Three things. One: design the pipeline with reps in the room, not against them. Two: kill data entry friction — inbound email parsing, calendar sync, WhatsApp logging, one-tap mobile flows. Three: make the dashboard useful to the rep, not just the boss. If a rep can see their own pipeline health and next-best-action in the CRM, they log in voluntarily.

Can we migrate from our existing CRM?

Yes. We've migrated off Salesforce, HubSpot, Zoho, Pipedrive, and a long tail of Excel and Google Sheets. Contacts, accounts, deals, activities, attachments, custom fields. Reconciliation report at the end so you know nothing was dropped. Two weeks of parallel running so reps can fall back if needed.

What about WhatsApp? Half our deals happen there.

WhatsApp Business API integration on day one. Conversations logged against the deal, templates for follow-ups, broadcast lists for nurture, opt-in compliance. Reps reply from the CRM or from WhatsApp itself — both update the same thread.

Who owns the source code and the data?

You do. Code in your Git org. Database on infrastructure you control. Customer data exportable to CSV or SQL on demand. If we walked away tomorrow, your next team could log in on Monday and keep going.

How do you handle forecasting and reporting?

Weighted pipeline by stage probability, win-rate by source / rep / deal type, leak analysis, cycle-time tracking, forecast vs actual. Dashboards in Metabase or Superset, refreshable on demand. Numbers that match what finance sees — because we wire the CRM to the billing system.

Can it integrate with our ERP / billing / marketing tools?

Yes — that's most CRM projects. Won deal in CRM creates the order in the ERP, marketing-qualified lead in HubSpot creates the deal in CRM, paid invoice in the billing system updates the customer health score. Proper webhooks with retries and idempotency, not Zapier zaps that silently fail.

How long until we see real adoption?

Realistic numbers: 60% adoption in week two of rollout, 80%+ by week six if the design is right. If we're below 80% at week six, we treat that as a defect and fix the friction — it's almost always a UX issue, not a training issue.

What if the sales process changes after we go live?

It will. Pipelines, fields, automations and dashboards are designed to be edited by a trained admin on your side — no developer ticket needed for a stage rename or a new field. Bigger changes (new deal type, new region) we handle on retainer or as a small change request.

Can you sign an NDA before we share details?

Always. NDA before the first call. Your customer data, pipeline and reports stay under your control. Happy to work inside your VPN and tooling if compliance requires it.

Stop paying for seats nobody logs into. Build the CRM your reps want.

A 30-minute call with a senior sales-ops lead (not a salesperson). We'll tell you whether off-the-shelf or custom is right, walk through the adoption traps your team is about to hit, and give you a real timeline to a working pipeline.
