ERP That Fits Your Business, Not the Other Way

We build ERP systems that match how your company actually runs — not how a 1990s German consultant thinks it should. Custom modules where the off-the-shelf package falls apart, clean integrations with the tools your team already lives in, and a database your accountant can audit on a Sunday night without calling support.

You don't need a bigger ERP.
You need one that matches your process.

Most ERP projects don't fail because the software is bad. They fail because someone tried to bend ten years of business logic to fit a vendor's checkbox demo, and the team quietly went back to spreadsheets six months later. We start from how your business actually books an order, ships it, invoices it, and closes the books — then build the ERP around that.

📉

A six-figure license, and the team still uses Excel

The ERP is technically live. Sales still ships quotes from Excel, finance still reconciles in Excel, ops still plans in Excel. The only thing the ERP does is generate invoices nobody trusts.

🧱

Customisations the next upgrade will break

Half the screens are forked, the workflows are held together by triggers nobody documented, and the vendor wants ₹40 lakh to upgrade because every patch breaks a custom field.

🕳️

Reports that don't match the bank statement

Three modules, three sources of truth, and the month-end close takes nine days because finance is hand-reconciling between them. Nobody can produce a clean P&L on demand.

What You Actually Get

No vague deliverables. Here's exactly what lands in your hands.

📚

A documented chart of accounts and process map

Before we touch code, your finance, ops and sales processes are mapped on paper, signed off, and version-controlled. No "we forgot to mention" two months in.

🧩

Modules that match your real workflow

Sales, purchase, inventory, manufacturing, finance, HR — built or configured to match how your team actually operates, not the vendor demo. Custom screens where the standard ones don't fit.

🔌

Clean integrations, not screen-scrapers

Tally, Zoho, Shopify, banking APIs, GST portal, payment gateways, courier APIs — wired in with proper webhooks, retries and audit logs. No "press F5 to refresh" hacks.

🔐

Source code, schema and admin keys, in your name

Your repo, your database, your servers (or ours, your call). Full schema docs, backup and restore drills, and a runbook your next team can pick up cold.

A Real ERP Delivery Team

Shipping an ERP that survives year three takes more than a developer with a tutorial. Six roles you get on every Pillai Infotech ERP build.

📊

ERP Functional Lead

Has rolled out ERP in manufacturing, distribution and services. Speaks finance, ops and sales fluently. Translates "we do it like this" into a workflow the system can enforce without making people miserable.

🧮

Senior Finance Architect

Chart of accounts, GST, TDS, multi-currency, multi-entity consolidation, costing methods, period close. Builds the books so the auditor stops sending you 80-row Excel queries every March.

⚙️

Senior ERP Engineer

Odoo, ERPNext, or a custom Laravel/Node stack when off-the-shelf doesn't fit. Writes upgrade-safe customisations, not forks. Knows the difference between a feature and a fork.

🔗

Integration Engineer

Owns every wire in and out: Tally, banks, GST portal, e-commerce, couriers, payment gateways. Builds idempotent webhooks, retries, dead-letter queues. The reason your ERP and your bank actually agree on Monday morning.

🧪

UAT & Data Migration Lead

Plans the cutover. Runs three full mock migrations before go-live. Builds the reconciliation reports that prove old system = new system to the rupee. The reason your CFO sleeps the night before launch.

🚀

Adoption & Training Lead

ERP is 30% software, 70% behaviour change. Runs the floor walks, the role-based training, the cheat sheets, and the war room for the first two weeks after go-live.

Zero-Blindspot Delivery

You See Everything. In Real Time.

Every Pillai Infotech project comes with a dedicated client dashboard. Kanban boards, live logs, test results, meeting notes — it's all visible the moment it happens. No status-report theatre, no "we'll get back to you", no surprises at the demo. You work with us like you work with your own team.

📋

Kanban Board, Live

Every epic, every story, every task — visible on your dashboard. Drag, comment, reprioritize. It's the same board our team works from.

📝

Documented Everything

Every decision, spec, API contract, and architecture diagram lives in the dashboard. Searchable, versioned, linked to the tasks they shaped.

📜

Live Logs & Test Results

Build logs, deployment logs, test suite results — streamed to your dashboard the moment they run. You never have to ask "did the build pass?"

🎯

Meetings → Tasks, Automatically

Every meeting is recorded, transcribed, and every action point is auto-converted into a tracked task assigned to the right person. Nothing gets lost between calls.

📈

Sprint Burndown & Velocity

See exactly how much work is done, how much remains, and our velocity over time. If a sprint is slipping, you see it the same moment we do.

💬

Comment, Approve, Decide — In-Place

Comment on any task, approve designs, sign off on specs, and raise blockers directly in the dashboard. Everything tied to the work, not buried in email threads.

ERP Systems We Know How to Ship

We pick the platform to match the business, not the other way round.

🏭 Manufacturing ERP

BOM, routing, work orders, shop-floor data capture, batch and serial tracking, costing. For job-shop, batch and discrete manufacturers who outgrew Tally and don't want SAP.

📦 Distribution & Wholesale ERP

Multi-warehouse, lot tracking, route planning, dealer pricing, credit limits, GST e-invoicing, e-way bills. The boring stuff that decides whether you collect on time or not.

🛒 Retail & Omni-channel ERP

POS + back office + e-commerce sharing one stock pool. Real-time sync between Shopify, Amazon, marketplaces and your stores. No more selling what you don't have.

🏗️ Project & Services ERP

Time tracking, project costing, milestone billing, retainer management, utilisation dashboards. For agencies, consultancies and project-based businesses who bill against effort.

🏥 Healthcare & Lab ERP

Patient flow, billing, inventory of consumables, lab orders, insurance reconciliation, NABH-friendly audit trails. Built around how the front desk actually works at 9pm.

🌐 Multi-entity Group ERP

Multiple companies, currencies, GST registrations, charts of accounts — consolidated reporting at the group level. For founders running three businesses out of one back office.

The ERP Stack We Use

Off-the-shelf where it wins. Custom where it doesn't. We pick the boring tool when it's the right one.

A Six-Stage ERP Delivery Process

Built around the reality that go-live, not the demo, is when the project starts to matter.

01

Discovery & Process Mapping

Two weeks of sitting with finance, sales, ops and warehouse. Every workflow on a wall. Every pain point logged. Every "we don't do it that way anymore" caught before it becomes a change request.

02

Fit-Gap & Platform Decision

Off-the-shelf vs custom, module by module. Honest call on Odoo vs ERPNext vs custom build, with the trade-offs in writing. No platform religion.

03

Configure & Build in Slices

One end-to-end flow at a time — quote-to-cash, procure-to-pay, hire-to-retire. Each slice in a UAT environment within two weeks, tested by the people who'll use it.

04

Data Migration & Mock Cutovers

Three full mock migrations from your current system. Reconciliation reports that match to the rupee. Cleaned, deduped, validated masters before any real go-live.

05

Go-Live & War Room

Cutover weekend with a senior on-site or on-call. Two weeks of war-room support, daily standups, and a rolling defect log everyone can see. No "raise a ticket and wait".

06

Stabilise & Hand Over

After 60 days of clean closes, we hand over docs, runbooks, and a trained internal admin. You can keep us on a retainer or fly solo — your call.

Three Ways to Engage

ERP projects don't fit one shape. Pick the one that matches your stage.

ERP Scoping Sprint

Three-week engagement to map your processes, decide the platform, and produce a real quote and timeline you can take to the board.

Honest Answers to ERP Reality Questions

The questions every smart buyer asks before signing. Here's what we tell them.

Odoo, ERPNext, or custom?

Depends on the business. Standard manufacturing or distribution with reasonable processes — Odoo or ERPNext, configured well, beats a custom build every time. Heavily process-specific industries (job-shop manufacturing, regulated services, multi-entity weirdness) — custom often wins because forking an ERP gets expensive fast. We benchmark both for your case before recommending.

How long does an ERP rollout actually take?

Six months is realistic for a single-entity business with one or two modules and clean data. Multi-entity, heavy customisation, or messy legacy data pushes it to 9–12. Anyone promising "live in 8 weeks" is selling you a demo, not an ERP.

What about our existing Tally / accounting software?

You've got three options: keep Tally for statutory books and let the ERP push journal entries into it; migrate fully into the ERP and retire Tally; or run parallel for one quarter and then cut over. We'll recommend based on your CA's comfort level and your audit cycle, not on what makes the project look bigger.

Who owns the source code, the database and the servers?

You do. Code in your Git org. Database on infrastructure you control. Admin credentials in your name. If we walked away tomorrow, your next team could log in on Monday and keep going. Vendor lock-in is a choice, and it's not ours.

How do you handle data migration from the old system?

Three mock migrations before go-live. Each one produces a reconciliation report that proves the new system matches the old to the rupee on opening balances, AR, AP, stock and fixed assets. We don't go live until the CFO signs off on the third mock.

Will customisations break on the next upgrade?

Not if they're built right. We use the platform's extension model (Odoo modules, Frappe apps, Laravel packages) — never forks of core. Every customisation has a regression test. Upgrades become a planned weekend, not a six-month project.

What about GST, e-invoicing and e-way bills?

Built in. GST returns generated from the ERP, e-invoices issued to the IRP automatically, e-way bills generated on dispatch. Reconciliation with GSTR-2B is a button click, not a week of Excel.

Can you integrate with our existing tools?

Yes — that's most ERP projects. CRM, e-commerce, banking, payment gateways, couriers, payroll, BI. We build proper integrations with retries, idempotency and audit logs, not screen-scrapers.

What happens after go-live if something breaks?

Two weeks of war-room support included. After that, an SLA-backed retainer or on-demand support, your call. We don't disappear after the invoice is paid — half our work comes from clients we shipped years ago.

Can you sign an NDA before we share details?

Always. NDA before the first call. Process maps, financials and data stay under your control. Happy to work inside your tooling and your VPN if compliance requires it.

Stop forcing your team into the software. Build the ERP around the business.

A 30-minute call with a senior ERP lead (not a salesperson). We'll tell you whether off-the-shelf or custom is right, walk through the migration gotchas your team is about to hit, and give you a real timeline to go-live.
